Estimating tax on downloads and online products

Digital-product sellers should use gross trading receipts from courses, templates, printables, memberships and downloadable assets. Marketplace payouts can hide transaction charges, refunds and currency conversions, so reconcile the product-level reports before entering totals.

Identify every selling channel

Bring together sales from Etsy, Gumroad, Shopify, course platforms, app marketplaces and direct payment links where they form part of the same trade. Include bundles, licences, memberships and upsells rather than only the headline product. Record refunds separately and use a consistent sterling conversion method for foreign receipts. Marketplace-collected VAT is not automatically the seller’s expense or income; retain statements showing how the platform treated it.

Document the costs behind a digital product

Relevant costs may include marketplace and processor fees, design tools, commercial fonts, stock assets, hosting, email software, advertising and contractor work. General devices, internet and subscriptions can be mixed-use. Record the method used to identify the business share. Payments for creating a long-lived asset, acquiring rights or work completed before trading may need treatment beyond a simple running-cost entry.

Tax and VAT are separate questions

The calculator estimates individual Income Tax and related deductions on profit. It does not decide where a digital service is supplied, who accounts for VAT or whether the seller must register. Digital sales to consumers in different countries can create additional rules even when the UK Income Tax estimate is simple. Keep customer-location and marketplace tax reports and obtain VAT advice as sales broaden.

Worked example

A template seller records £11,500 of gross sales across Etsy and a direct checkout. Marketplace and payment fees are £1,050, refunds are recorded separately, design and email tools cost £780, commercial assets cost £420 and supported advertising costs are £900. The provisional profit is calculated from the underlying £11,500, not the smaller bank payouts. Any marketplace VAT treatment is reviewed separately.
